This guide outlines the process of transferring all clients, matters, and cases from one user to another in CASENGINE, typically when a user is leaving the organization.
Steps to Transfer Data
1. Access Settings
- Click on the settings icon in the top header to go to the settings page.
2. Navigate to User Registration
- On the settings page, find and click on the "User Registration" link under the User section.
3. Verify or Create New User
- Ensure that the user to whom you want to transfer the data exists in the system.
- If the new user doesn't exist, use the "Add" button at the top to create the user.
4. Locate the Old User
- In the user grid, search for the user from whom you want to transfer the data.
5. Initiate Transfer Process
- Click the action button next to the old user's name.
6. Choose Transfer Method
- You have two options:
a) Transfer All to a Single User
b) Transfer to Multiple Users
Option A: Transfer All to a Single User
1. Select "User Transfer All" to transfer everything to a single user.
2. Choose the new user from the list.
3. Click "Save" to transfer all data from the old user to the new user.
Option B: Transfer to Multiple Users
1. Select "User Transfer" to assign clients to different users.
2. You will see a list of all clients linked to the old user.
3. For each client, assign a new user.
4. Once all assignments are complete, click "Save".
Deactivate Old User (Optional)
- If you want to deactivate the old user's account, check the "Deactivate the old user" checkbox before submitting.
Important Notes
- Ensure that the new user(s) have the appropriate permissions to access the transferred data.
- Double-check all assignments before submitting to avoid data transfer errors.
- After the transfer, verify that all clients, matters, and cases have been correctly reassigned.
