Obligation Master Documentation

Introduction

Obligation Master is used to manage standard obligation data throughout the system for assigning to clients, cases, or projects. These obligations define legal and compliance requirements with automatic reminder capabilities, responsible user assignments, and categorization for efficient tracking. The system supports bilingual data entry and automated email notifications to ensure timely completion of obligations systematically across the platform.


Accessing Obligation Master

  1. Navigate to the Settings section by clicking the settings icon in the header bar on the left side
  2. Under the Common Master section, click on Obligation

Managing Existing Obligation Masters

The Obligation Master page displays all obligation masters in a table with:

  • Obligation name (English and Arabic)
  • Categories (comma-separated list)
  • Responsible users (comma-separated list)
  • Days before deadline  (comma-separated list)
  • Status
  • Edit action button

You can:

  • Add new obligation masters by clicking the Plus (+) button in the top right corner
  • Search obligation to find specific obligation masters
  • Edit an obligation master by clicking the edit button in the action column
  • Change status by editing and updating the active toggle

Adding a New Obligation Master

  1. On the Obligation Master page, click the Plus (+) button in the top right corner
  2. In the popup form, enter:

Basic Information

  • Obligation Name (English): Enter the obligation name in English
  • Obligation Name (Arabic): Enter the obligation name in Arabic
  • Obligation Instructions (English): Enter the obligation instructions in English - Will be sent in the obligation reminder email
  • Obligation Instructions (Arabic): Enter the obligation instructions in Arabic - Will be sent in the obligation reminder email

Custom Email

You can enable the custom email, if you want to set the email template as per your own requirement, The custom email supports showing dynamic data which will be picked directly from the obligation and added into the email when the reminder is sent. If enabled, you have to set the custom email for both English and Arabic

  • Custom Email (English): Enter the obligation email template in English - Will be sent in the obligation reminder email
  • Custom Email (Arabic): Enter the obligation email template in Arabic - Will be sent in the obligation reminder email


Please note, you can add the dynamic keywords into the mail which gets auto replaced with actual data, for Eg. if the Template says, "Your company license is going to expire in {<Days_Left>} day(s)" , in the mail, {<Days_Left>} will be replaced by the actual number of days left in the deadline, you can copy the keywords from the keyword table to paste it in the template.




Categorization and Assignment

  • Obligation Categories: Select one or more categories from the dropdown using multi selection
  • Responsible Users: Select one or more users who will be responsible for this obligation by default using multi selection

Reminder Configuration

  • Reminder Days Before Deadline: Enter the number of days before the deadline when reminder emails should be sent. You can add multiple values for each obligation or can choose from common reminder options

Status Configuration

  • Active: Toggle button set to "Active" (default) or "Inactive"
  1. Click Save to create the new obligation master
