User Mapping Documentation


User Mapping User Mapping is used to manage user role assignments and access throughout the system for controlling user permissions, data visibility, and workflow assignments across different modules. This mapping system defines which users can access specific locations, case types, departments, and other users based on their assigned roles, helping standardize user access management and workflow distribution systematically across the platform.


Accessing User Mapping

  1. Navigate to the Settings section by clicking the settings icon in the header bar on the left side.
  2. Under the Users section, click on User Mapping

Managing Existing User Mappings The User Mapping page displays all user mappings with filtering and management capabilities:


Filter Options The page includes multiple filter controls at the top:

  • Role Group Filters: All, Internal, External buttons to filter by user role categories
  • Status Filters: Active, Inactive buttons to filter by user status
  • Download Option: Download user mapping data in Excel format

User Mapping Grid The main table displays comprehensive user mapping information:

  • Expandable Rows: Click the expand icon to view detailed mapping information for each user
  • User Name: User name of the mapped user
  • Assigned Roles: Role names assigned to the user
  • User Status: Active/Inactive status indicator with color coding
  • Action: Edit button to modify user mappings

Detailed Mapping Information When expanding a user row, additional mapping details are displayed:

  • Display Name: User's full display name
  • Location Mappings: All assigned locations for the user
  • Office Mappings: Assigned offices (for HOD/TL roles)
  • Department Mappings: Assigned departments (for HOD/TL roles)
  • Client Mappings: Associated clients (for Client role)
  • Case Type Mappings: Assigned case types with location breakdown (for Clerk role)
  • Lawyer Assignments: Associated lawyers (for Secretary role)
  • Judicial Assistant Mappings: Associated judicial assistants (for Judicial Assistant role)

Role-Based Mapping Access Different user roles have access to different types of mapping configurations:


Lawyer Users

  • Lawyer Role Mapping: Can be mapped to locations where they can practice law
  • HOD Role Mapping: Can be assigned office and department oversight responsibilities


Secretary Users

  • Secretary Role Mapping: Can be assigned to support specific lawyers
  • Team Leader Role Mapping: Can be assigned office and department leadership responsibilities
  • Lawyer Role Mapping: Can be mapped to locations for legal practice


Clerk Users

  • Clerk Role Mapping: Can be assigned to specific locations and case types for administrative support
  • Lawyer Role Mapping: Can be mapped to locations for legal practice


Client Users

  • Client Role Mapping: Can be associated with specific client records in the system


Judicial Assistant Users

  • Judicial Assistant Role Mapping: Can be associated with judicial assistant professional records


Editing User Mappings User mappings are configured through role-specific interfaces based on the user's assigned role:


Basic User Information

  • User: Display of selected user's name and username (read-only in edit mode)

Lawyer Role Mapping For users with Lawyer role:

  • Location: Select multiple locations using checkbox group with "Select All" option
  • Users can be mapped to locations where they can practice law

HOD (Head of Department) Role Mapping For users with Lawyer role:

  • Office: Select multiple offices using checkbox group with "Select All" option
  • Department: Select multiple departments using checkbox group with "Select All" option

Secretary Role Mapping For users with Secretary role, mapping options include:

  • Lawyer Assignment: Select lawyers that the secretary will support using checkbox group
  • Users are organized by role categories for easy selection

Clerk Role Mapping For users with Clerk role:

  • Location: Select location from dropdown (single selection)
  • Case Type: Select multiple case types using checkbox group with "Select All" option
  • Case types are filtered based on selected location automatically

  • Client: Select multiple clients from dropdown using multi-selection
  • Links external client users to their respective client records in the system

  • Judicial Assistants: Select judicial assistant records using checkbox group
  • Associates system users with judicial assistant professional records

Status Configuration All user mappings include:

  • Active/Inactive Toggle: Control user mapping status
  • Status changes affect user access to mapped resources immediately


Save Functionality

  • Save Button: Apply all mapping configurations for the selected user
  • Changes take effect immediately upon saving
